Attune Neurosciences is developing the world's first wearable, non-invasive ultrasound system for deep brain therapy. We are looking for a Clinical Operations Associate to join our clinical research team. In this role, you will be the face and voice of our studies, serving as the first point of contact for prospective participants and a critical driver of enrollment across our clinical trials. You will spend a meaningful amount of your day on the phone with candidates, guiding them warmly through the screening process, answering their questions, and helping them feel confident about participating in research. You will also create outreach materials, manage recruitment databases, build screener surveys, and develop relationships with local advocacy groups and community partners, including organizations that serve veterans.
This role requires someone with a genuinely warm, outgoing, and people-first personality. You will interact daily with individuals who may be living with psychiatric or neurological illnesses, and your ability to communicate with empathy, patience, and professionalism will directly shape their experience. Compensation: $75,000 to $95,000 base salary, plus benefits and stock options. Title and compensation are based on experience. We conduct regular performance reviews, and compensation can grow rapidly for individuals who demonstrate strong impact. Attune is growing quickly and this role has a clear path upward in our Clinical Research organization.
Essential Responsibilities
- Candidate Outreach & Phone Screening: Serve as the primary point of contact for study candidates from first inquiry through enrollment. Spend significant time each day on the phone with prospective participants, screening for eligibility, answering questions, and building the kind of warm rapport that makes people want to say yes.
- Recruitment Marketing & Materials: Create compelling and compliant recruitment materials including flyers, digital graphics, study websites, and social media content. Adapt messaging for different audiences and channels, and support ongoing efforts to grow our digital outreach presence.
- Community & Advocacy Outreach: Build and manage relationships with local veteran advocacy organizations, community health groups, and other partner organizations to expand our reach into underserved and targeted populations.
- Prescreening Surveys & Intake Management: Design and deploy prescreening surveys that translate study inclusion and exclusion criteria into clear, accessible questions. Manage the intake pipeline from initial inquiry through eligibility determination, and continuously refine the process based on conversion data.
- Baseline Assessments & PHI Collection: Administer structured baseline psychiatric assessments and collect sensitive protected health information (PHI) in compliance with HIPAA and study protocols. Maintain strict confidentiality and professional boundaries at all times.
- Database Tracking & Subject Management: Maintain organized and accurate records of all prospective and enrolled participants in our clinical database systems. Track recruitment metrics, flag gaps, and generate reports to support enrollment planning.
- Recruitment Budget Tracking: Track and log recruitment-related expenditures including advertising spend, outreach materials, and vendor costs. Maintain accurate records and support budget reporting to ensure recruitment activities stay within approved study budgets.
- SOPs & Patient Safety: Follow and contribute to the development and improvement of standard operating procedures (SOPs) for recruitment and intake activities. Support patient safety monitoring activities and escalate concerns appropriately.
- Social Media Marketing: Assist with ongoing social media outreach campaigns and explore emerging platforms and strategies to reach potential participants. Experience in social media marketing is a plus, but a willingness to learn and experiment is what matters most.
This position is fully on-site, 5 days a week at our San Francisco office. Hours are flexible and will vary based on study schedules and participant availability.
Minimum Qualifications
- Comfortable working daily with individuals living with psychiatric or neurological illnesses, including those experiencing active symptoms, and able to maintain professionalism and empathy under sensitive circumstances.
- Experience or demonstrated ability to create recruitment or marketing materials such as flyers, digital graphics, email campaigns, or study-facing web content.
- Comfortable collecting sensitive protected health information (PHI) in compliance with HIPAA, and able to handle personal disclosures with discretion and care.
- Highly organized with strong attention to detail; able to build and maintain accurate subject tracking databases and manage a large volume of candidate records.
- Strong verbal and written communication skills, including the ability to explain complex eligibility criteria in plain, accessible language.
- Interest in psychology, psychiatry, mental health, or related fields. A degree is not required, but genuine intellectual curiosity about the subject matter is.
- Comfortable learning and using new software platforms including survey tools, CRMs, and clinical database systems.
Preferred Qualifications
- Bachelor's degree in psychology, public health, sociology, communications, or a related field. Equivalent lived or work experience will be considered.
- 1 to 2 years of experience in clinical research recruitment, patient coordination, call center outreach, or a community health setting. Internship and volunteer experience counts.
- Experience building or administering screener surveys using tools such as REDCap, Qualtrics, Google Forms, or similar platforms.
- Familiarity with social media platforms and digital marketing tools; experience running outreach campaigns for health-related organizations is a significant plus.
- Prior experience working with veteran communities, psychiatric or neurological patient populations, or other underserved groups.
- Background in administering structured psychiatric assessments or familiarity with tools such as PHQ-9, GAD-7, MINI, or similar instruments.
- Experience writing or maintaining SOPs in a research or clinical setting.
